Your MSP can be profitable on paper and still give work away every month.

Agreements are signed once. Clients change every month. New starters arrive, devices multiply and engineers do the quick favour nobody bills. Much of it never reaches an invoice, and nobody has time to check a thousand tickets against fifteen contracts.

Client profitability. Which clients are worth keeping?

Headroom sets each client's revenue against its delivery effort and estimated margin, so you can see which clients cost more to serve than they pay. Margins are estimates from your own rates.

Take ABC Ltd. It pays £1,850 a month on Business Pro. Its support has grown from 22 to 28.6 hours a month, and 4 more users are active than its agreement covers. Over six months, that is £404 of potential opportunity to review.

What we found

  • FactYour users list shows 47 active users for Acme Ltd.
  • FactAcme Managed Services Agreement, section 1.2 states 39 users.
  • Fact"Managed Support (per user)" bills 39 × £82 per user.
  • Observation47 − 39 = 8 users more than contracted.
  • Observation8 × £82 = £656 a month, £7,872 a year.

Interpretation

The extra users may be supported without being charged for. Some may be leavers not yet removed from the list, or covered by a separate arrangement.

Recommended action

Review the agreement with Acme Ltd. If the extra users are confirmed, update the recurring charge to 47 users (+£656/month).

Recommendations require MSP review before action.

Confidence

High confidence

Contracted for 39 users and billed for 39; your users list shows 47 active. Valued at your own billing line price.

Why was this flagged?

Rule drift.user: more active users than the agreement covers, valued at the client's own per-user billing line.

Evidence checks

  • The agreement states 39 users.
  • Your clients file agrees with the agreement.
  • Valued at your billing line price (Managed Support (per user)).
  • Exactly one billing line is the per-unit charge.
  • Every active user has a first-seen date.
  • Your billing lines bill 39 users, fewer than the 47 active, and only the users beyond those billed are counted.

Data sources: Acme Managed Services Agreement, clients.csv, users.csv, billing.csv.

  • Calculation shown. Every figure can be checked by hand.
  • Confidence reflects the strength and completeness of the underlying evidence.
  • AI assists with interpretation. Financial calculations are deterministic.
  • The software recommends. The MSP decides.
Sample data: Acme Ltd is fictional. This is Headroom's actual output for a three-file sample (an agreement, a users list and a billing export), and the same case runs as an automated known-answer test.

If your PSA, RMM and billing system can export a CSV, you can run an audit today. No agent to install, no admin access, no integration project.

CSV exports you already runWorks today
Clients, tickets, time entries, users and devices, and billing lines from your PSA, RMM and billing system. Map the columns as you upload.
Contract and SOW PDFsWorks today
Headroom reads the clauses that decide what is billable: business hours, company-owned devices, onsite visits, project work, hardware and third-party software.
Evidence on every opportunityWorks today
Deterministic rules tie each opportunity to the ticket, time entry, device, charge or clause behind it, and to the file and row it came from. On the hosted service, an optional AI explanation puts one opportunity into plain English when you ask. It never produces a figure.
Reports for client reviewsWorks today
Take the opportunities into a client review or a management meeting as a PDF report or a CSV.
Direct PSA and accounting integrationsPlanned
Connections that pull the same data automatically are planned. Until they arrive, exports cover everything the analysis needs.

How your data is handled.

Headroom is early-stage software, so here is exactly what it does with your data today.

Visit the Trust Centre
Exports, not access
Headroom works from files you choose to upload. It needs no agent, admin account or API credentials, and never connects to your PSA.
Your workspace only
Data is stored in the United Kingdom in Postgres with row-level security on every table, so only signed-in members of your workspace can read it. Contract files sit in private storage, and key actions go to an audit log you can check.
Rules, not guesswork
A deterministic rules engine finds every opportunity and calculates its value. The same data always gives the same result, and every calculation is shown.
AI only when you ask
An optional explanation sends one opportunity and its evidence to Anthropic's API (United States) from our server. AI never produces a figure, and its text is labelled AI-assisted.
Not certified yet
Headroom isn't SOC 2 or ISO 27001 certified and hasn't had a penetration test. The Trust Centre lists what is and isn't in place, and who our providers are.

Pricing

Find the work your MSP is doing for free.

Start with a free audit of your own exports. See exactly what we find before you pay. You see each opportunity, the evidence and calculation behind it, and the clients involved. If Headroom then finds even one missed recurring charge, Growth can pay for itself.

Illustrative, not a forecast: five users added at a client but never added to the invoice, at £60 per user a month, is £300 a month of potential revenue. Growth is £240.

For scale: the fictional demo MSP has 15 clients with agreements worth £143,220 over six months. Headroom found £3,804 of potential opportunity there (£1,405 high confidence), £277 a month of it recurring.

If your audit finds less than Growth costs, Growth isn't worth it for you yet, and the audit shows you that before you pay.

  • Prices are in GBP and exclude VAT, which is added at 20% for UK businesses. There is no setup fee.
  • When paid plans open: annual plans save 10%, monthly plans can be cancelled at any time and end at the close of the billing month, and after a plan ends past reports stay readable for 30 days.
  • Items marked Planned are not available yet and are not part of what you pay for today.
  • Headroom shows potential revenue opportunities for you to review, not guaranteed savings.

Questions owners ask first.

Straight answers about your data, your PSA and what the figures mean.

Does this work with my PSA?
Yes, through exports. Headroom works from CSV exports that any PSA, RMM or billing system can produce, plus contract PDFs. You map the columns when you upload, so the file layout doesn't matter. Direct PSA connection is planned, and when it launches it will be included in Growth. Until then, exports cover everything the analysis needs. The export guides show which reports to run in ConnectWise PSA, Autotask, HaloPSA and Syncro, and how to export users from Microsoft 365 and devices from your RMM.
Can someone help me with the first audit?
Yes. Book a guided audit: a 45-minute call where we help you export the right data from your PSA and go through what Headroom finds with you. You run the exports and upload them yourself; we never need your PSA login.
Do I need to change my PSA?
No. Headroom reads exports from the tools you already use and changes nothing in them.
What data do I need?
Start with your client list (monthly recurring revenue, contracted users and devices) and a ticket export. Time entries, users and devices, billing lines and contract PDFs make the analysis more complete. Contracts are what let Headroom check work against what each agreement covers. Three to six months of tickets and time entries is the right range; the export guides cover the rest.
Is my customer data secure?
Your exports are read in your browser and saved to a workspace only its members can access, enforced by row-level security in the database. Contract files sit in private storage, and key actions are recorded in an audit log. AI only runs when you ask it to explain a single opportunity. Headroom isn't SOC 2 or ISO 27001 certified yet; the Trust Centre sets out exactly what is and isn't in place, who our providers are and how deletion works.
Does it automatically bill my customers?
No. Headroom never contacts, invoices or charges your clients. It shows you the opportunity and its evidence; you decide what to bill, reprice or let go.
How accurate are the opportunities?
Every opportunity comes from deterministic rules, so the same data always gives the same result. Each one shows the records behind it, the file and row they came from, how its value was calculated, and a confidence level. Confidence reflects the strength and completeness of the underlying evidence. High: Direct evidence in your records on both sides, and a deterministic calculation. Medium: Your records support it, but an input is assumed, the link is a keyword match, or it needs a check. Low: Incomplete or ambiguous evidence, or a modelled estimate. Verify it by hand. Recommendations require MSP review before action.
Does AI work out the figures?
No. AI assists with interpretation. Financial calculations are deterministic. Rules find each opportunity and calculate its value. AI is used only when you ask for a plain-English explanation of one opportunity, and that text is labelled AI-assisted.
Does it replace my PSA?
No. Your PSA runs tickets and billing. Headroom sits above it as a commercial layer, showing where agreements, work and charges have drifted apart.
How much could I recover?
It depends on your data, your agreements and how you price, and we don't promise a figure. As an example, the fictional demo MSP (15 clients) shows £3,804 of potential opportunity over six months: £1,405 at high confidence and £2,399 that requires review. £277 a month of it is recurring. Your first audit is free, so you can see exactly what we find before you pay.
What if my audit finds very little?
Then the audit shows you that before you pay anything. If it finds less than Growth costs, Growth probably isn't worth it for you yet.
Why don't you charge per endpoint or per user?
The value is the commercial opportunity, not your device count. Each plan has one price. Growth covers up to 100 clients; Pro has no limit.
Can I change plan or cancel?
Paid plans aren't on sale yet, so there is nothing to pay for or cancel today, and you can delete your workspace at any time in Settings. When paid plans open, you'll be able to move to a higher plan at any time; downgrades and cancellations will take effect at the end of the period you've paid for, with read-only access to past reports for 30 days after that.
