Get your data out of your PSA
Headroom works from exports you can already run: five CSV files and your contract PDFs. These guides say which list or report gives each file in the systems MSPs use most, and how its columns map to Headroom's.
You don't need every file to start. The clients file is the one Headroom needs; a ticket export is the next most useful, and each file you add lets Headroom check more.
Choose your system
- ConnectWise PSAWhich ConnectWise PSA lists and reports give Headroom its clients, tickets, time entries and billing lines, and how the columns map.Clients, Tickets, Time entries, Billing / agreements
- Autotask PSA (Datto)Which Autotask PSA searches and reports give Headroom its clients, tickets, time entries and billing lines, and how the columns map.Clients, Tickets, Time entries, Billing / agreements
- HaloPSAWhich HaloPSA lists and reports give Headroom its clients, tickets, time entries and billing lines, and how the columns map.Clients, Tickets, Time entries, Billing / agreements
- SyncroWhich Syncro lists give Headroom its clients, tickets, time, assets and billing lines, and how the columns map.Clients, Tickets, Time entries, Users & devices, Billing / agreements
- Microsoft 365 usersHow to export active users and licences from the Microsoft 365 admin centre for Headroom's users and devices file.Users & devices
- RMM device listsHow to export a device list from an RMM such as NinjaOne, Datto RMM or N-able for Headroom's users and devices file.Users & devices
Using another PSA? Any system that exports a CSV works. The ConnectWise guide is a good general model: the same lists exist under different names elsewhere.
What Headroom reads
- ClientsRequired
- The baseline every opportunity is checked against. From your PSA or billing system.
- TicketsRecommended
- Finds out-of-scope and unbilled work. From your PSA.
- Time entries
- Finds unbilled time and support over allowance. From your PSA.
- Users & devices
- Finds agreement drift and unbilled licences. From your RMM or Microsoft 365.
- Billing / agreements
- Finds billing mismatches and unbilled licences. From your billing or accounting system.
- Contracts
- Finds work the agreement excludes. Signed agreements, SOWs and service schedules.
Date range
- Export three to six months of tickets and time entries, ending with the last full month. Use the same start and end date for both: the analysis period is the months those dates span.
- Fewer than three months gives too little to compare; more than six makes old agreements and leavers more likely to blur the picture.
- The clients file, users and devices, and billing lines describe what is in place now: current agreements, active users and devices, and current recurring charges. They have no date range.
- Users and devices with a created or first-seen date let Headroom tell when each one was added, so a monthly figure reflects when growth happened.
Next steps
With the files ready, create a free account and upload them. Headroom shows how it has mapped every column before it imports anything, and you can change any mapping.
A guided audit is a 45-minute call where we help you run these exports. Or explore the demo to see what the files turn into.
